Tracking reminders marked as Sent, that may have not been Sent

When a reminder letter is printed or emailed, it is marked as ‘Sent’ – so you can check against the vehicle or within the reminders part of the program to confirm if a reminder has been sent.

However, when looking at the details of a vehicle the ‘sent’ flag can be manually ticked or unticked.


If you look at the ‘remind sent’ details against a vehicle and the log shows the ‘method’ as ‘other’ this means someone has manually ticked the ‘sent’ box and the system logs the day and time this was done, as below:


So this covers the first way a reminder may be marked as ‘Sent’ without having ever been sent.

Secondly, if you edit a vehicle and it has a WOF/Service reminder date that is for an old date and the reminder for that date had already been sent, you would see something along the lines of this:

If you then just type a new date into the reminder date field, you need to remember to also untick the ‘sent’ box. We have identified that in some cases the user is not unticking this, which leaves the reminder marked as ‘sent’ despite the date being now in the future.


If this is the case, the details under the ‘remind sent’ button will show the user who changed the date, the current date and the type as ‘other’.
