Introduction – POS VAULT eftpos

 

Synergy POSLink and PumpLink feature the ability to integrate to a VAULT eftpos terminal. This terminal connects to Synergy POSLink and PumpLink via the network. Installations must be completed by a qualified Eftpos professional. This interface is currently only available to Challenge Fuel Retailers, when installed by an appropriately trained technician (as it requires specific pre-configuration, custom print driver configuration and other technical requirements.

System requirements

  • The hardware must be installed as per the providers instructions (please note that we are unable to assist with installing the Eftpos software itself, you will need to consult your Eftpos provider manual or the provider themselves if you require assistance).
  • VAULT Software needs to be installed first before the setup in Synergy can take place. This should be done under the instruction of VAULT/ECL or your Eftpos services provider.
  • VAULT needs to be activated within Synergy back office before it can be used within the POS system. Call 09 583 2455 and speak to sales to discuss options and pricing for VAULT integration.
  • Minimum Synergy Versions
    • Synergy Auto Shop or Financials v11 Build 377
    • POS version 18.09
      • POS requires specific Vault DLL files (Verifone.Vault.COMAPI.dll, Verifone.Vault.COMAPI.tlb, Verifone.Vault.DotNetAPI.dll and Verifone.Vault.DotnetApi.tlb) to be installed and present in the POS folder for this system to operate, if these are not preinstalled, please contact Synergy support.
      • Most sites now operate Vault v5 terminals which will require Vault v5 software to be installed by your Eftpos hardware provider

Setting Up VAULT Integration in POSLink / PumpLink

Go into the POS software > Setup > Configure Lane > tick “Do you have integrated EFTPOS?”

Then click the EFTPOS Integration button.

 Select Verifone VAULT from the list and click the Green tick button.

For the VAULT settings to take effect, exit and close POS completely then log back into POS


The first time POS is run a VAULT Configuration wizard will come up – click Yes

You will then be asked to enter an IP address or DNS name – this will be supplied by the VAULT Installer on-site.



There will be several other windows after this – choose the default options


Once POS has re-started there will be two new buttons in Setup > Configure Lanes


  1. VAULT Configure” which will allow you to change the IP address or DNS name &
  2. VAULT Admin Menu” – this can also be accessed from the ‘Help’ button in the POS “Sales” screen to open the Vault Administrator Functions explained below

VAULT Administrator Functions

 

  1. Eftpos Log On
    1. The eftpos logon can be started if POS has lost the link to the eftpos machine for some reason
    2. Click on the VAULT Admin Button in the POS software > Setup > Configure Lane
    3. Select “1 Log On”
    4. This should initiate a manual logon, if successful you will get a receipt printed out stating that the login was successful and you will be able to start using the eftpos integration again
  2. Reprint Receipt
    • This can be used if you need to re-print a receipt for a client
    • Click on the VAULT Admin Button in the POS software > Setup > Configure Lane
    • Select “5 Reprint Receipt”
    • If the receipt you require is displayed on screen you can click on Print 
    • If you require a different receipt click Older to cycle through recent receipts and select Print when you find the one you want 
    • Note that the receipt at the bottom will display the text *DUPLICATE RECEIPT* 
    • To exit out of this screen without printing just click the X at the top right
  3. Eftpos Settlement Enquiry
    • A settlement enquiry is generally run to see how much has been taken since the last settlement cutover.  You would generally use this function as part of your end of day procedures to ensure that your eftpos terminal and your Point of Sale reconcile
    • Click on the VAULT Admin Button in the POS software > Setup > Configure Lane
    • Select “2 Inquiry”

 

  •   The date displayed will always be todays date
  • If you wish to run a previous date select other and enter the date in the specified format

 

Click Done when finished


NB: This receipt will break down the amounts into their different types

 

  1. If running for a historic date you should get a message on screen saying “Transaction Completed
  2. If running for the current date you will get a message on screen saying “Ready to Settle”
  3. Eftpos Settlement Cutover
    1. The Settlement Cutover tells your eftpos machine that have reached the end of the day. It commits your transactions for the day ready for the next days business
    2. This is not always required as the eftpos terminal will settle automatically every day at a time specified by each site.
    3. Click on the VAULT Admin Button in the POS software > Setup > Configure Lane

Select “0 More Options” then “2 Cutover”


Payment Type Setup

 

This needs to be setup in Synergy Back-office > Company Setup > Accounts Receivable > Payment Types. When setting up the payment type, there is a section for Payment Type Class. This needs to be selected as Eftpos, Credit or Starcard for it to go through to the VAULT Machine. For more detail on setting up payment types, please see:

Processing a VAULT transaction.

 

Complete the transaction as normal. When getting to the payment screen, select Eftpos or any Credit Card that has been set up with the correct payment type.

 

Once the tender screen has been completed, the following screens will appear to track the progress of the transaction.

 



 

The following screen will only display for Analysed Purchase (fuel card) transactions

   

 

The following screen is from Synergy rather than Vault and will display at the end. The VAULT machine automatically prints a customer receipt. This screen comes up so that the operator can print a merchant receipt if they wish. , this option can be disabled in POS setup

 

If the wrong account is selected, you will get an error, and you will be taken back to the main sales screen.

 

If the card is declined due to incorrect pin, it will print a declined docket and takes you back to the previous sale screen.

Acceptance with Signature (Credit Card)

 

This will bring up slightly different screens than above. 

 

If you need to take a signature instead of a PIN, follow the above steps until you get to the point where you get the popup saying 'Awaiting PIN' (3rd prompt). 

At this point you will see a prompt on the machine asking 'PIN or Enter'. Just press the Enter button (green button at the bottom right corner of the machine, generally with a symbol similar to ↵) and you will get the following prompt:

and this will be printed:

 

This is your copy of the receipt (stating Merchant Copy at the bottom).  It is this receipt that you should get the customer to sign.  Check the signature matches the signature on the back of their credit card and if so click Yes, otherwise click No


You would then see one of the following screens respective of the acceptance/decline of the signature:

You can then click OK to dismiss this message

 

After this, two receipts will print – one for the customer and another for Merchant copy:
